architecture engineering workflow automation

Turn a pursuit into a project without rebuilding the context.

Connect qualifications, RFPs, proposals, project setup, subconsultant coordination, scope changes and billing review around the systems your firm already uses.

How engagements work

The operating reality

The expertise is specialized. The pursuit machinery is repetitive.

A&E teams repeatedly assemble qualifications, project examples, staff information and proposal material while principals decide where the firm should compete.

When work is won, approved pursuit context should become an operating project without another round of copy-and-paste.

The right project example is hard to find

An old proposal may have the right sector experience but outdated staff or project details. Marketing needs approved source material, not another copied document.

Winning starts another round of entry

The awarded fee, phases, client contacts and subconsultants may be retyped into project administration even though they were agreed during the pursuit.

A request becomes work before it becomes scope

A client email can reach the design team before anyone records the fee or schedule implications. The request needs a review path linked to the project.

Fits the tools you already use

Carry approved pursuit information into project setup.

Use the CRM for the pursuit, an approved library for qualifications and your project system for delivery. SOORVO evaluates the handoffs between them; a vendor name alone does not establish connection access.

Our approach to technology & integrations
CRM / pursuit register

Track the opportunity, go/no-go decision, proposal version and award.

Before connectingWhich decision makes the pursuit eligible for project setup?

Deltek / Ajera / project ERP

Receive reviewed client, phase and fee information through a supported path.

Before connectingWhich project fields can be prepared, and which require the project administrator's approval?

Qualifications / document library

Keep approved project descriptions, staff resumes and proposal material available for reuse.

Before connectingWho reviews changes, and how do we prevent an outdated qualification from being reused?

Build the boundary, too

Automation needs a clear place to stop.

Decide who can approve, change or override an action before the workflow goes live.

Keep judgment with the responsible person

Principals retain go/no-go, staffing, fee, design, engineering and professional decisions.

Make exceptions visible

Automation can prepare and route information; it does not authorize a pursuit, fee, design decision or professional release.

How SOORVO approaches the build

Start with one pursuit your firm wants to repeat.

A useful first build connects an RFP checklist, approved qualifications and the award-to-project handoff. It supports the pursuit team without taking over the principal's decisions.

Implementation, management & usage
  1. Map the RFP requirements

Identify submission dates, requested disciplines and required material. Route missing qualifications and go/no-go questions to the pursuit owner.

  2. Assemble from approved material

Prepare a reviewable proposal using the firm's selected project examples and staff information. Keep the source and version visible.

  3. Carry the award forward

Prepare project setup from the accepted proposal. Test a revised fee, a changed phase and a substituted subconsultant before enabling the handoff.

Before you scope a project

Questions worth asking.

Can we improve proposals without replacing our project ERP?

That is the intended starting point. Review the pursuit and document work around your current ERP, then connect only the handoffs its access permits. A proposal workflow can still be useful when project creation needs a staff-reviewed import or manual approval.

How do we avoid reusing outdated project or staff information?

Use an approved source library with a content owner and review status. A draft can assemble selected material, but it should identify missing or stale items for review instead of inventing a credential, project role or qualification.

Start with the work

Bring an RFP your team recently won. We will follow the information from first pursuit through project setup.

Bring the request, the tools it touches and the decision your team needs to keep.
