01 / The operating brief

The client experience
started before
the accounting work.

Everline needed the systems around its professional work: a website, a way to capture and respond to inquiries, identity verification for online clients, and a phone setup the team could answer.

The implementation brought those touchpoints into scope together. The website and SEO work supported the firm’s public presence. Email automation connected new inquiries to the CRM and a relevant reply. Identity verification supported remote onboarding, while AI reception and shared-number calling covered the phone side.

Professional questions still needed a CPA. The workflow distinguished a new-business inquiry from a question requiring judgment or a reply in an existing client conversation.

02 / From inquiry to a recorded lead

An email became
the next step.

A new inbound lead email triggered CRM lead creation and an AI-generated email response based on the incoming request.

  1. 01

    The inquiry arrives

A prospective client emails the firm with a request.

  2. 02

    The CRM gets the lead

The automation creates a lead record and populates it with the request from the email.

  3. 03

    The prospect gets a reply

AI generates and sends an email response based on what the prospective client wrote.

03 / The decision behind the automation

Classify first.
Then choose the response.

The email workflow distinguished new leads, questions requiring CPA review, irrelevant messages, and replies to existing conversations. This illustration explains those routing decisions.

Website build and SEO

SOORVO built the Everline Advisory website and included SEO work in the project. The public website is the visible part of an implementation that also reached into day-to-day operations.

B

Identity verification for remote clients

With much of the firm’s client work taking place online, identity verification was an important part of onboarding. SOORVO implemented that verification capability as part of the project.

How we connect business systems

C

AI reception and a shared phone number

The project included an AI receptionist and a phone setup that let one business number be answered from multiple phones. Reception and team access were both part of the implementation.

05 / The human boundary

The CPA stayed
in the conversation.

A complex accounting or tax question was a reason to route the message for professional review. It was not treated like a new-business acknowledgment.

Replies to an existing conversation preserved the human thread. Marketing and irrelevant messages followed their own handling so they did not receive the same attention as a client request.

The design principle: define when the system should respond, when it should route, and when it should leave a conversation with its owner.

06 / Applying the idea

Map the handoff.
Then connect the tools.

For a similar implementation, start with the request and follow it: where it arrives, what record it should create, what response is appropriate, and which person owns the next decision.

Then look beyond the inbox. Remote onboarding, telephone access, and the website may each need work for the full client journey to make sense. The scope follows the firm’s workflow.

Start with one workflow

Where does the next step
depend on someone remembering?

Bring the workflow, the tools you use, and the decisions that must stay with your team. That is the starting point for a useful scope.
