logistics workflow automation

Keep every shipment in the same conversation.

SOORVO designs AI and workflow automation for logistics and freight operations. Connect quote requests, shipment updates and delivery documents around a shipment record, with dispatchers retaining operational decisions.

How engagements work

The operating reality

A shipment can have many messages. It still needs one record.

A pickup change, a carrier email and a request for delivery paperwork may refer to the same movement using different reference numbers. Matching the message is the first task; deciding what it means comes next.

We distinguish a confirmed milestone from an estimate. Customer communication should carry its source and observation time so yesterday’s update cannot quietly become today’s promise.

Quote details arrive in pieces

Lane, equipment, dimensions and requested dates are scattered across a thread before anyone can assess the request.

Status messages lose their source

An estimate gets copied into a customer reply without its timestamp or the person who supplied it.

Delivery and billing drift apart

A completed movement still waits on a legible document, a reference match or a disputed charge.

Example setup

A freight update moving toward the TMS.

A useful connection keeps the load reference, customer message and dispatcher task together without inventing ETAs or changing a load on its own.

A concrete configuration to picture — not a claim that every account exposes the same integration options.

How SOORVO evaluates integrations

01 / Request

Work arrives

A customer, carrier or driver sends a status request, exception or load-related update.

02 / SOORVO

Prepare the next action

Extract the approved reference details, match the load where the evidence supports it and prepare the next operational action.

03 / McLeod Software

Use the permitted system path

Use the McLeod TMS connection available to the operation for the permitted note, task, status or record handoff.

04 / Human ownership

Judgment stays visible

Dispatch or operations staff decide load changes, recovery actions, commitments, rates and exception handling.

Illustrative configuration. McLeod Software is shown as a recognizable example, not as a SOORVO partner or a fixed stack. Exact automation depends on the vendor capabilities, account tier, permissions and integration access available to the customer.

Connect messages to the transport record.

The transport management system should retain its role. We assess how surrounding email, customer communication and documents can refer to its records safely.

Our approach to technology & integrations
Transport management system

Shipment identifiers, parties, milestones and approved operational state.

Before connectingWhich updates are authoritative, and can duplicate events be recognized?

Email and status sources

Requests, source messages and timestamped movement information.

Before connectingCan a reported event be distinguished from a prediction or an unverified message?

Document and accounting systems

Delivery evidence, charge review and billing handoffs.

Before connectingCan the original file, shipment link and approval history be retained together?

Build the boundary, too

Automation needs a clear place to stop.

Decide who can approve, change or override an action before the workflow goes live.

Carrier approval stays with operations

A matched company record is an input to review. It is not automatic approval of authority, insurance, safety or suitability for a load.

No invented arrival times

If a trustworthy update is unavailable, the workflow should request one or assign follow-up instead of generating a confident ETA.

Preserve customer boundaries

Customer-specific rates, shipment details and documents should only reach authorized recipients.

How SOORVO approaches the build

Choose one lane through the administration.

A scoped first workflow might cover one customer’s status requests or one delivery-document queue, with a clear operations owner.

Implementation, management & usage
  1. Map reference numbers

Document the shipment identifiers used by customers, carriers and internal systems.

  2. Replay awkward updates

Test duplicate messages, delayed events, revised ETAs and documents attached to the wrong movement.

  3. Keep the dispatcher in control

Define who receives an exception, how they acknowledge it and what happens when no one does.

Before you scope a project

Questions worth asking.

Can shipment update automation distinguish an ETA from a confirmed event?

That distinction belongs in the design. A proposed freight workflow would retain the shipment reference, information source and observation time, and label an estimate separately from a confirmed milestone. Stale or contradictory updates go to operations before a customer commitment. Delivery-document receipt can start a billing-review task without declaring the shipment or invoice approved.

Can this work with our transport management system?

We need to inspect its available interfaces, permissions, event history and data quality. A named platform is not enough to promise a reliable connection.

Will the system assign carriers or make dispatch decisions?

The workflows shown here organize information and communication. Carrier selection, load acceptance, operational changes and commercial commitments remain with your authorized team.

What happens when two sources disagree?

Preserve both reports and their timestamps, flag the conflict and assign it to operations. The workflow should not choose a convenient answer and overwrite the evidence.

Sources & implementation context

  • FMCSA: company safety records

FMCSA provides access to company safety information used in operational review. Connecting a record does not replace operational approval.

Start with the work

Start with the message your operations team keeps chasing. We will trace it to the shipment record and the person who can resolve it.

Bring the request, the tools it touches and the decision your team needs to keep.
