An urgent call lacks the essentials
A message reaches the on-call team without a confirmed property address, callback number or clear description of the reported loss.
restoration business automation
SOORVO designs AI reception and workflow automation for restoration companies. Connect reported losses, dispatch handoffs and job documentation while your team controls site assessment, work authorization and customer commitments.
The operating reality
The first caller may be an occupant, owner, property manager or referral partner. They can describe what they see, but that description is not yet a technician’s assessment or authorization to perform work.
We keep those stages separate. A useful intake record gives the on-call team the address, callback details, reported conditions and open questions without promising an arrival time, a remediation plan or insurance coverage.
A message reaches the on-call team without a confirmed property address, callback number or clear description of the reported loss.
Documents arrive without the correct job, room, date or author, leaving the office to reconstruct the record.
Administrative follow-up drifts into commitments that only an authorized professional or insurer can make.
Example setup
The setup can connect intake with field documentation while scope, safety, estimating and insurer-facing decisions stay with the restoration team.
A concrete configuration to picture — not a claim that every account exposes the same integration options.
01 / Request
A property owner, insurer or referral partner reports a new loss or asks for an update on active work.
02 / SOORVO
Capture the loss address, contact details and request type, match existing work where possible and prepare the next field or office action.
03 / Encircle
Use the Encircle access available to the contractor for the permitted documentation, task or job-context handoff.
04 / Human ownership
The project manager or estimator owns site safety, scope, mitigation decisions, estimating and insurer or customer commitments.
Illustrative configuration. Encircle is shown as a recognizable example, not as a SOORVO partner or a fixed stack. Exact automation depends on the vendor capabilities, account tier, permissions and integration access available to the customer.

We assess the existing reception, job-management and document tools, then define which system owns each stage and who may see its records.
Our approach to technology & integrationsOriginal loss reports, caller details and acknowledged escalation.
Before connectingWhat happens if a transfer fails or the on-call person does not answer?
Visits, authorized scope, source evidence and project status.
Before connectingCan reported conditions stay separate from technician findings and approved work?
Approved packets, requests, invoices and recipient history.
Before connectingCan access and sharing be limited to the right job and authorized parties?
Build the boundary, too
Decide who can approve, change or override an action before the workflow goes live.
AI should not diagnose mold, declare a building safe, prescribe remediation or infer measurements from incomplete records.
Receiving a call does not confirm dispatch, arrival time or coverage. The responsible team must accept the next step.
Keep originals and attributed findings. A summary should never change a reading, erase an uncertainty or imply an insurer approved the work.
How SOORVO approaches the build
For urgent intake, the exception path matters as much as the ordinary call. We would agree the human fallback before connecting the channels.
Implementation, management & usageDefine approved scripts, coverage boundaries, on-call ownership and fallback contacts.
Walk through failed transfers, duplicate reports, unclear addresses and a responder who never acknowledges.
Trace the accepted intake into a job record, visit documentation and an authorized customer update.
Before you scope a project
Keep the caller’s report, service address and contact details together for the on-call team, then associate reviewed site documentation with the same incident. The proposed setup separates what the caller reported from what a technician confirmed. An intake acknowledgment is not dispatch acceptance, and collecting insurance documents does not establish coverage or authorize the work.
It can be scoped to capture information and follow an approved escalation script. It must not represent itself as emergency services, assess site safety or promise dispatch when no responsible person has accepted the job.
It can organize documents and route administrative questions. It should not determine coverage, approve a claim or promise reimbursement.
We first inspect its integration access, job identifiers, permissions and document behavior. The proposed connection must be verified before we promise a particular workflow.
EPA treats moisture and mold remediation as a process involving assessment and protective measures. These administrative workflows leave that work with qualified people.
