staffing agency automation

Keep candidates and requisitions moving with context.

SOORVO designs automation for staffing and recruiting operations: organize candidate intake, coordinate interviews and connect client requests to recruiter follow-through. Keep selection decisions and candidate relationships with your team.

How engagements work

The operating reality

A candidate record is not a hiring decision.

Recruiting connects two changing conversations: what the client needs and what the candidate wants. A resume, updated availability or new job-order email is useful only when it reaches the right recruiter and current requisition. Re-entering the same details in an ATS, inbox and calendar leaves room for conflicting versions.

The EEOC and Department of Justice warn that hiring technologies can disadvantage applicants with disabilities and highlight accommodation needs. Our proposed starting points are administrative coordination and accessible handoffs. They do not use inferred personality, voice, appearance or an opaque score to decide who should be hired.

One person, several candidate records

A new application, email reply and recruiter referral may create separate records with different availability or contact preferences.

Interview details that drift

A hiring manager changes the time, but an old calendar invitation and reminder still reach the candidate.

Client requirements buried in email

A revised shift, location or essential qualification never reaches the recruiter working from the original job order.

Example setup

A staffing request moving into Bullhorn.

The setup can keep client, job and candidate context connected without letting automation make the placement decision for the recruiter.

A concrete configuration to picture — not a claim that every account exposes the same integration options.

How SOORVO evaluates integrations

01 / Request

Work arrives

A client sends a new job requirement or a candidate replies about an active opportunity.

02 / SOORVO

Prepare the next action

Identify the request type, capture approved details, match known records and prepare the next recruiting task.

03 / Bullhorn

Use the permitted system path

Use the Bullhorn access available to the agency to update or prepare the appropriate client, job or candidate workflow.

04 / Human ownership

Judgment stays visible

The recruiter owns qualification, candidate fit, client commitments, compensation and the final placement decision.

Illustrative configuration. Bullhorn is shown as a recognizable example, not as a SOORVO partner or a fixed stack. Exact automation depends on the vendor capabilities, account tier, permissions and integration access available to the customer.

Want to see this mapped against the tools and handoffs you already use?

Discuss your systems

Fits the tools you already use

Keep the ATS authoritative. Make the handoffs visible.

We would check how candidate identity, requisition ownership and communication history move through your current systems before adding another automation layer.

Our approach to technology & integrations
Applicant tracking system

Hold candidate, requisition and recruiting activity records.

Before connectingDuplicate handling, recruiter ownership, custom fields and permitted write access.

Client CRM and email

Connect job orders and account-manager approvals.

Before connectingSender authority, change history and separation of proposed from approved terms.

Calendars and meetings

Coordinate confirmed interviews and rescheduling.

Before connectingTime zones, required participants, cancellation behavior and accessible alternatives.

Candidate communications

Deliver approved updates and bring replies back to people.

Before connectingContact preferences, delivery failures, accommodation routing and suppression of outdated reminders.

Build the boundary, too

Automation needs a clear place to stop.

Decide who can approve, change or override an action before the workflow goes live.

No opaque candidate ranking

These examples organize information and tasks. They do not infer suitability from voice, face, personality or protected personal characteristics.

An accessible route to a person

A candidate must have a practical way to raise an issue or request another communication format within the agreed recruiting process.

No silent rejection or changed terms

Selection, pay, placement commitments and changes to a job order require the responsible team’s approved decision.

How SOORVO approaches the build

Start with coordination, then measure the handoff.

A focused intake or interview workflow creates a clear place to test usefulness without outsourcing selection judgment to an unreviewed model.

Implementation, management & usage
  1. Define allowed information

Agree which fields may be extracted, who owns the record and which decisions the system must never make.

  2. Test varied inputs

Use different resume formats, duplicate records, time zones, calendar failures and accommodation requests.

  3. Review practical outcomes

Inspect record corrections, missed replies, scheduling conflicts and unresolved tasks with recruiters before adding more workflows.

Before you scope a project

Questions worth asking.

Can recruiting automation coordinate interviews without screening candidates out?

Yes—the proposed scope is coordination, not candidate selection. Keep the candidate, client requisition and recruiter together; collect availability and update invitations only after calendar confirmation. Resume ambiguities, accommodation requests and scheduling conflicts return to people. Candidate assessment, ranking, rejection and placement decisions are outside this administrative workflow.

Does this screen or rank candidates automatically?

The examples do not. They prepare records and coordinate the next step. Recruiters retain assessment and selection; any materially different use would require its own scope, evidence and review.

Can this work with our existing ATS?

We assess its native automation, access permissions, integration options and data model first. Support depends on your actual platform and account configuration.

What happens when a candidate replies to an automated message?

The intended design preserves the reply, associates it with the recruiting activity and pauses any sequence that would otherwise send an inappropriate follow-up. An identified person owns unresolved messages.

Choose one candidate or client handoff that needs fewer corrections and a clearer owner.

Bring the request, the tools it touches and the decision your team needs to keep.
