testing inspection calibration workflow automation

From asset list to a controlled service cycle.

Connect quote intake, asset onboarding, scheduling, recall communication, certificates and billing handoffs while technical validity and quality release stay human.

How engagements work

The operating reality

Every asset has a history, a due date and a release decision.

Customers send spreadsheets, PDFs and emails containing asset lists that must become quotes, schedules and recurring service records.

SOORVO can structure the administrative lifecycle while technical execution, validity, disposition and quality approval remain with authorized staff.

The customer's asset name does not match yours

A spreadsheet may use a nickname where the service system expects a serial number or asset ID. Guessing can attach the request to the wrong history.

A recall message needs a current service record

A reminder can be inappropriate when an asset was retired, replaced or already booked. The communication needs the latest reviewed status.

Work completion and release get confused

A technician finishing a task does not necessarily make its certificate ready to send. Release and billing need their own approved triggers.

Fits the tools you already use

Connect each asset to the right service event.

A proposed intake path validates the customer's list against your asset records, prepares unresolved items for review and keeps result release separate from administrative progress.

Our approach to technology & integrations
Quote and asset-list intake

Collect the asset references, requested service, location and requested dates.

Before connectingWhich fields are required to distinguish two similar instruments?

Lab / service system

Carry the matched asset, service event, schedule and approved recall date.

Before connectingHow are retired assets, replacements and changed intervals reflected?

Certificates / billing

Use the authorized release status to prepare customer delivery and billing handoffs.

Before connectingWhich role can release a result, and what blocks delivery when review is incomplete?

Build the boundary, too

Automation needs a clear place to stop.

Decide who can approve, change or override an action before the workflow goes live.

Keep judgment with the responsible person

Technical execution, validity, disposition and quality release remain with authorized personnel.

Make exceptions visible

Ambiguous asset identity, requested service or result status routes to staff rather than being guessed.

How SOORVO approaches the build

Start with the asset list that takes longest to reconcile.

Use one customer format to build a reviewable intake path. The goal is a trustworthy quote and service record, not a parser that silently accepts every row.

Implementation, management & usage
  1. Match assets before quoting

Identify reliable asset keys and show unmatched, duplicate or ambiguous rows to staff with the original source attached.

  2. Separate scheduling from release

Prepare scheduling after intake review. Keep customer delivery dependent on the release decision your quality process requires.

  3. Test the recall cycle

Walk through an already-booked asset, a retired instrument and a changed date. Confirm that reminders follow the approved current record.

Before you scope a project

Questions worth asking.

What happens when an asset spreadsheet contains incomplete identifiers?

The proposed workflow keeps those rows unresolved and shows them to staff. It can preserve the original row and suggest information to request, but it should not manufacture a serial number or merge assets because their descriptions look similar.

Can certificate delivery be separated from billing?

Yes. Define the authorized trigger for each action independently. Technical release belongs to your quality process; invoice preparation follows the commercial rules you approve. A completed office task is not proof of a released result.

Start with the work

Bring a real asset-list format. We will map how it becomes a quote, scheduled work and a controlled recurring record.

Bring the request, the tools it touches and the decision your team needs to keep.
