Order entry becomes interpretation
Customer aliases, pack sizes and attachment formats require more than copying text into an ERP.
wholesale distribution automation
SOORVO designs AI and workflow automation for wholesale distributors: turn incoming purchase orders into reviewable records, connect stock and backorder communication, and keep pricing, credit and substitutions under the right approvals.
The operating reality
A buyer’s part number may differ from your catalog. A quantity may mean eaches, cases or pallets. The order can also depend on customer terms, ship-to details and a requested date that stock cannot support.
We preserve the original purchase-order line alongside the normalized item and quantity. That gives the order desk a way to inspect the interpretation before it becomes a fulfillment instruction.
Customer aliases, pack sizes and attachment formats require more than copying text into an ERP.
A customer receives a promise from an old availability check or an unapproved substitution.
The warehouse, account manager and buyer are working from different versions of what remains open.
Example setup
The setup can connect an inbound request with order and inventory context while commercial and fulfillment exceptions stay visible to the team.
A concrete configuration to picture — not a claim that every account exposes the same integration options.
01 / Request
A customer asks about an order, availability, delivery status or a change to an existing request.
02 / SOORVO
Identify the customer and order context, capture the requested change and distinguish an information request from an action that needs approval.
03 / Oracle NetSuite
Use the NetSuite access available to the distributor for the permitted order, case, task or inventory-context handoff.
04 / Human ownership
Sales, operations or finance approve pricing, credits, substitutions, allocation changes and commitments outside the defined rules.
Illustrative configuration. Oracle NetSuite is shown as a recognizable example, not as a SOORVO partner or a fixed stack. Exact automation depends on the vendor capabilities, account tier, permissions and integration access available to the customer.

We scope the connections around the system that owns item, inventory, customer and order data. AI can help interpret an incoming request; approved records determine what can happen next.
Our approach to technology & integrationsItem identifiers, customer aliases, pack conversions, terms and order state.
Before connectingWhich fields are authoritative, and which updates require an approval?
Availability, allocation, shipment and discrepancy information.
Before connectingHow fresh is the stock view, and does availability differ from reserved quantity?
PO originals, confirmations, accepted changes and follow-up.
Before connectingCan repeated messages be matched without creating a second order?
Build the boundary, too
Decide who can approve, change or override an action before the workflow goes live.
Preserve the original unit and quantity. Unrecognized cases, sizes or aliases need an approved mapping before order release.
AI should not override account holds, negotiate a margin exception or turn a draft quote into a binding confirmation.
Show when the inventory source was checked and define when a new check is necessary before making a commitment.
How SOORVO approaches the build
Choose a customer or product family whose records can be reviewed end to end, including the awkward orders that usually return to the desk.
Implementation, management & usageMap item aliases, units, pack sizes and ship-to records using approved master data.
Replay amended POs, duplicate attachments, shortages and credit holds without posting live orders.
Track which fields need correction and who approves each transition into fulfillment.
Before you scope a project
Preserve the buyer’s original purchase-order line, then check the catalog item, pack quantity and customer terms before preparing a draft order. A shortage should produce reviewable backorder options rather than an invented availability promise. Product substitutions, pricing exceptions and credit approvals remain with the authorized team; a case is not silently treated as one unit.
A reviewed draft is the appropriate starting point. Any later automatic posting needs explicit rules, verified source data, duplicate controls and a tested exception path.
We can scope matching against your approved alias records. A plausible text match is not sufficient when item, pack size or specification could differ.
That depends on the inventory system’s actual interfaces and update frequency. We define freshness and recheck behavior during discovery rather than promising real-time data.
GS1 product identification provides useful context for preserving explicit item identity. Customer aliases and unit conversions still require your approved mappings.
