salon workflow automation

Book the right service. With the right time and the right person.

SOORVO connects salon inquiries, booking requests and follow-up around the service menu and booking platform you already use. Stylists keep control of complex service and suitability decisions.

How engagements work

The operating reality

“Can I book a color?” is not a complete appointment.

Maintenance, first-time color and color correction can require different providers, time blocks and consultation. A free slot is useful only when it fits the work.

Map service rules and appointment changes so reception can handle routine coordination without interrupting stylists.

The wrong service selected

Separate known services from requests that need a consultation.

A gap that does not fit the work

Availability must match the service duration and a provider who offers it.

Changes that leave stale messages

Cancellations, reschedules and staff absences must stop stale reminders and offers.

Example setup

A booking inquiry moving into Fresha.

The setup can move a straightforward booking request toward the salon’s booking system while unusual services, pricing and stylist judgment stay with the team.

A concrete configuration to picture — not a claim that every account exposes the same integration options.

How SOORVO evaluates integrations

01 / Request

Work arrives

A client asks for a service, preferred time or stylist through the website, message or phone.

02 / SOORVO

Prepare the next action

Identify the requested service, collect approved booking details and distinguish a standard request from one that needs a person.

03 / Fresha

Use the permitted system path

Use the Fresha path available to the salon for the permitted booking, client or communication handoff.

04 / Human ownership

Judgment stays visible

Reception or the stylist handles color correction, unusual services, pricing exceptions and requests that need professional judgment.

Illustrative configuration. Fresha is shown as a recognizable example, not as a SOORVO partner or a fixed stack. Exact automation depends on the vendor capabilities, account tier, permissions and integration access available to the customer.

Our approach to technology & integrations
Booking platform & service menu

Stylist skills, duration, service options and confirmed availability.

Before connectingBooking access, conflict checks, provider restrictions and processing-time rules.

Phone, website & messages

Client requests, approved information and appointment communication.

Before connectingContact preferences, accurate menu descriptions and a clear route to reception.

Consultation & waitlist records

Stylist review tasks, preparation status and suitable opening requests.

Before connectingRestricted notes, ownership, offer expiry and removal of stale requests.

Build the boundary, too

Automation needs a clear place to stop.

Decide who can approve, change or override an action before the workflow goes live.

Preparation is not a checkbox to skip

FDA hair-dye guidance advises following product instructions and skin testing before each use. The workflow can track salon-approved preparation; it does not judge a reaction or certify safety.

Scope and price stay grounded

Use the salon’s approved menu and pricing rules. Complex color or uncertain duration needs a stylist consultation, not an invented quote.

An offer is not a reservation

A waitlist time remains provisional until the booking platform confirms it. Conflicting replies need human resolution.

How SOORVO approaches the build

Start with the service menu, not the chatbot.

A small set of clear booking rules is a stronger first scope than an assistant expected to answer everything.

Implementation, management & usage
  1. Define the booking rules

Record services, providers, durations, preparation and consultation requirements.

  2. Connect one request path

Choose phone, website or follow-up first; decide what can book and what needs reception.

  3. Rehearse a busy day

Test cancellations, simultaneous acceptances, uncertain color requests and provider absences.

Before you scope a project

Questions worth asking.

How would salon booking automation handle two clients accepting one waitlist opening?

A waitlist offer should not count as a reservation. The proposed workflow would recheck the service duration, stylist and current slot when a client accepts, and confirm only the booking the scheduling system commits. Another acceptance goes to an available alternative or reception. Complex color work and preparation requirements still follow the salon’s consultation rules.

Can the system book every service automatically?

Only services with clear booking rules. Complex color, uncertain duration and preparation questions should go to consultation or staff review.

Does this replace our booking software?

Not by default. We assess whether your current platform can support the workflow and connect it where access is reliable.

Can AI give a price for a color correction?

It should not invent one. It can share approved menu information and arrange a consultation; the stylist determines scope and quote.
